How To Host A Meeting

Hosting a meeting can be a nerve-wracking task. The host needs to keep everyone’s attention for a set amount of time while being productive. A work meeting can vary from who attends from follow coworkers, to managers and CEO’s of a company so having these hosting skills is a must for anyone in the corporate world. Here are a few tips and guidelines that will help:
1. Make sure a meeting is needed
Before calling a meeting, make sure you really need to have a meeting to discuss the information. Would it be more beneficial to send out a memo or an email conversation? You should respect your coworkers time and call meetings when they are necessary.
2. Set a start and end time
Setting a start and end time will not only help you keep on track during the meeting, it will help your coworkers plan according for the meeting. With a start and end time, your coworkers will be able to plan around the meeting and it would not cause problems with their schedules. If for some reason the meeting starts late or runs longer than it should, apologize and let your coworkers know. If some need to leave for other commitments, reschedule another time to recap them with what they may have missed.
3. Create an agenda
Creating an agenda will help you and your coworkers stay on track and will allow the meeting to progress. It can be easy for a meeting to get off topic and as the host, it is your responsibility to keep everyone on track and the agenda will help. Giving the agenda out before the meeting will allow the attendees prepare accordingly. You don’t want to surprise people about the topics discussed and having the agenda passed out beforehand will help.
4. Assign a note-taker
As the host of a meeting, you will need to keep the meeting on track and end at the set time. Assigning a note-taker will help you keep focus on leading the meeting and you can collect them after the meeting. Assign someone that is responsible and supply the equipment they may need such as a laptop, notepad, or presentation sheets.
5. Follow up
At the end of the meeting should be a quick recap of what happened and set timelines if specific tasks or actions need to be completed. After the meeting, collect the notes and compile them so they make sense and distribute it everyone who attended and any who made need it such as a boss or manager.
These simple tips should help you host a productive, meaningful meeting that anyone can be proud of.
